Sharing boards publicly

Sometimes the people who need to see progress are outside your workspace — clients, leadership, another department. Laya covers this with public share links for boards, docs and the roadmap: anyone with the link gets a read-only view, no Laya account needed.

Share a board

1. Open the board menu and choose ShareThis opens Board Studio on the External View tab.
2. Turn on Public linkThe section reads: “Anyone with the link can view a read-only version of this board — no Laya account needed. Turning it off revokes access instantly; turning it back on restores the same link.”
3. Copy the link and send itThe same Public link toggle, a read-only link field and a Copy button also live in board Settings → Sharing.

While the link is live, the toggle shows “Live — anyone with the link can view.”; off, it shows “Off — the link is revoked.” A board's link token is minted once and reused: turning the link off and on again restores the same URL, so bookmarks your stakeholders already have keep working.

Control what viewers see

The External View tab gives the shared board its own personality and its own privacy line. Under “Hide internal fields” you can individually hide: internal keys (source IDs / issue keys), assignees, estimates, comments, attachments, the board icon, epics, tags, due dates, priority, subtask progress and work types — all off by default, toggle on to hide.

• A separate public theme and Public accent colour let the external view look different from your internal board.
• You can set a custom external title, show a Progress summary, add a Watermark (the footer then reads “Shared via Laya” instead of the default “Powered by Laya”), and choose per-column visibility.
• Card detail is off by default — the shared board is view-only cards. Turn it on to let viewers open a card; this is enforced on the server, not just hidden in the page.

Share a doc

Any doc has a Share button that publishes a public link, and a Revoke link action that removes it. Publishing requires the doc-publish capability. Moving a doc to the Trash revokes its public link immediately; restoring the doc restores the same working link.

Share the roadmap

The roadmap has one workspace-wide public link, copied from the roadmap's Copy public link action. Enabling it requires workspace-settings rights. Disabling the public roadmap clears its token, so re-enabling produces a new URL — old links stay dead.

What viewers experience

Public viewers get a clean, read-only page with a “Sign in to view full board” call to action; if card detail is off, hovering a card simply reads “Sign in to view details”. A revoked roadmap link shows “The link is invalid or has been revoked.” Shared URLs also generate rich link previews in tools like Slack and Teams.
